Executive Specialist

Job Description

This is an exciting opportunity to directly support the Vice President/Chief Financial Officer at the Johns Hopkins University Homewood campus. We are seeking an Executive Specialist who will partner with the VP/CFO, directors and other colleagues across the university and in the Office of Finance to ensure the VP/CFO is timely and effectively advancing the priorities and his portfolio. The executive specialist will support the VP/CFO in his work managing functions, helping to ensure a unified approach across the institution.


Responsibilities include coordinating and facilitating the accomplishment of mission-driven goals, objectives, strategic and tactical initiatives, and working as an internal part of a team that delivers high output and high impact work in a fast-paced environment. This role requires considerable judgment, tact, creativity, and initiative; an ability to create and maintain organizational structures and processes within tight deadlines; an unwavering commitment to service; a positive outlook; and a high level of confidentiality.


The successful candidate will demonstrate independence in their work, prioritize effectively, and anticipate the needs of the VP/CFO. This position requires exceptional organizational, planning, writing, and interpersonal skills, along with a deep curiosity about key external stakeholders as well as the institution, its mission and its people. Ideal candidates will have an interest in and understanding of financial processes.


Specific Duties & Responsibilities

  • Responsible for strategic and conflict free calendar management with consideration of deadlines, goals, and strategic initiatives and ability to diplomatically triage competing internal and external requests and needs.
  • Track deliverables for programs, initiatives and activities. Manage special programs/projects as needed.
  • Work with colleagues to prepare materials for a variety of key meetings and discussions, including briefings, development of agendas and other materials to ensure topics are ready for discussion. Ensure VP/CFO is fully prepared for internal and external meetings.
  • Track and conduct tasks generated in meetings.
  • Triage and manage information flow and priorities by flagging important action items and timelines and prioritizing and facilitating decision points.
  • Disseminate information, field questions, and provide guidance about the finance organization activities or needs to colleagues across the university and key external audiences.
  • Interface with leadership offices across the university and health system and develop efficient collaboration/coordination among different departments/units.
  • Ability to effectively communicate and coordinate with other internal offices and external audiences.
  • Prepare the first draft of announcements, correspondence, memos and emails. Participate in and organize team meetings and follow up on action items.
  • Recommend operational processes and workflows. Provide additional administrative support as needed (e.g., travel logistics, purchasing, event planning, process expenditures, reconcile accounts, monitor expenses, problem solving, team building events, contribute to onboarding of staff).
  • Some evening and weekend work required.


Minimum Qualifications
  • Bachelor's Degree.
  • Five years' experience in support of academic, business, research and/or development activities and operations, providing high level administrative oversight, coordination, and advice.
  • Additional related experience (i.e. experience in field for which the executive to whom this position reports to is responsible) may be considered in lieu of degree to the extent permitted by the JHU equivalency formula.

Classified Title: Executive Specialist 
Role/Level/Range: ATP/03/PD  
Starting Salary Range: $62,900 - $110,100 Annually (Commensurate with experience) 
Employee group: Full Time 
Schedule: Monday - Friday 8:30am - 5:00pm 
Exempt Status: Exempt 
Location: Hybrid/Homewood Campus
